Project Initiation, Transaction, and Project Planning

Project Initiation

  • Aid in the development of programming requirements.
  • Strategize on the overall project approach.

Transaction

  • Coordinate with Transaction team on site selection and due diligence.
  • Review and negotiate proposed Landlord / Tenant work and costs.
  • Review and negotiate Lease and Work Letter.
  • Develop high-level budget.
  • Develop high-level schedule.

Project Planning

  •  Develop the Project Management Plan:
    • Project Charter
    • Stakeholder Management Plan
    • Communications Plan
    • Risk Management Plan
    • Change Control Plan

Procurement

Procurement

  • Work with Client to develop a procurement strategy for the project.
  • Issue Request for Proposal documents to all applicable vendors.
  • Analyze proposal responses, conduct follow up interviews, level bids, and provide recommendations.
  • Review and negotiate vendor contract terms.
  • Develop detailed budget for all project disciplines.

Design & Construction & Fit-Out

Design

  • Ensure all programming requirements are confirmed.
  • Coordinate with the Design team to ensure their milestones are met.
  • Coordinate with the IT team to ensure requirements are incorporated.
  • Facilitate design reviews during each phase and obtain Client approval:
    • Schematic Design
    • Design Development 
    • Construction Drawings
  • Manage the Permit process.
  • Issue schedule and budget updates.
  • Conduct Project Team meetings.

Construction & Fit-Out

  • Facilitate Value Engineering efforts if required.
  • Ensure timely responses to RFI's and submittals by all team members.
  • Coordinate and resolve field coordination issues.
  • Ensure all project disciplines are performing as per the schedule.
  • Conduct site visits and quality checks.
  • Coordinate punch-list / defects walk-through.
  • Issue schedule and budget updates.
  • Conduct Project Team meetings.

Relocation Planning & Project Close-Out

Relocation Planning

  • Develop a relocation strategy with the Client.
  • Conduct Move Committee meetings.
  • Coordinate with Landlord / Property Management.
  • Coordinate with the relocation vendor.
  • Manage decommission if applicable.
  • Oversee move-in activities.
  • Conduct handover walk-through and obtain sign-off.

Project Close-Out

  • Ensure all punch-list items are completed for all disciplines.
  • Obtain all close-out documentation:
    • As-built plans
    • Warranties
    • O&M manuals
    • Final lien waivers
  • Coordinate handover to Facilities Management team.
  • Close-out all financials:
    • Final reconciled budget
    • Close-out all contracts
    • Collect Tenant Improvement Allowance 
  • Final project photos
  • Provide key project metrics
  • Conduct a Lessons Learned meeting and document findings.

Program Management

Program Management

  • Develop a Project Management Playbook and associated templates.
  • Provide guidance and oversight for the development of workplace standards.
  • Assist in annual capital budget development.
  • Coordinate with the Transaction team to align project strategies.
  • Create a centralized approach to the management of individual projects.
  • Develop key project metrics based on the collection of project data.
